The Assistant Manager – Finance plays a pivotal role in supporting ARK Foundation’s financial management and operational efficiency. Reporting directly to the Finance Manager, this position is responsible for assisting in the comprehensive management of the organization's financial activities, ensuring accuracy, transparency, and compliance with internal policies and donor regulations. The Assistant Manager – Finance will be instrumental in maintaining robust financial controls, preparing detailed financial reports, and facilitating smooth financial operations that underpin the foundation’s impactful programmes.

Responsibilities

Financial Reporting and Analysis

Grant Financial Management Planning:

  • Oversee financial management for all grant-related activities, ensuring accuracy and compliance with donor requirements and organizational policies.
  • Monitor grant expenditure against approved budgets and forecasts, identify variances, and provide timely financial analysis and advice to programmme teams and management.
  • Prepare grant financial reports in accordance with donor guidelines and submission deadlines.
  • Ensure timely and accurate invoicing and cash-flow management for grants, monitoring fund receipts and disbursements.
  • Conduct regular reviews of grant expenditures to ensure compliance and accurate allocation of costs. Donor and Partner Relations and Reporting
  • Support the financial reporting process, ensuring alignment with donor requirements, subgrantee (partner) agreements, and internal timelines.
  • Maintain positive relationships with donors and partners, addressing financial queries and ensuring timely and accurate financial reporting.
  • Ensure all financial documents of grants and subgrants are kept in the shared filing systems for complete, accurate and accessible documentation. 

Budgeting and Financial Planning

  • Assist Executive Director and Finance Manager in the formulation of annual budgets and periodic forecasts in collaboration with Senior Project manager and senior leadership.
  • Monitor budget implementation across projects and departments, ensuring expenditures align with approved budgets and donor agreements.
  • Provide timely updates and variance analysis to facilitate proactive financial management and resource allocation.

Accounting Operations and Controls

  • Oversee day-to-day accounting functions including processing invoices, payments, payroll, advances, and bank transactions with meticulous attention to detail.
  • Ensure all financial transactions are recorded accurately in the accounting system and comply with ARK Foundation’s financial policies and procedures.
  • Conduct regular reconciliations of bank statements, ledger accounts, and project expenditures to maintain financial integrity.

Compliance and Audit Support

  • Ensure compliance with local statutory requirements including tax regulations, VAT, and labor laws, as well as donor-specific financial guidelines and reporting standards.
  • Maintain comprehensive and well-organized financial records and documentation to facilitate internal and external audits.
  • Coordinate with external auditors during audit processes, providing necessary documentation, explanations, and follow-up on audit recommendations.

Financial Systems and Process Improvement

  • Utilize financial management software and tools effectively to streamline accounting processes and enhance reporting accuracy and efficiency.
  • Identify opportunities to improve financial workflows, internal controls, and reporting mechanisms to strengthen overall financial governance.

Procurement and Vendor Management

  • Support procurement activities by reviewing purchase requests, ensuring compliance with procurement policies, and maintaining proper documentation.
  • Liaise with vendors and service providers to resolve payment issues and maintain positive working relationships.

Collaboration and Communication

  • Work closely with research and programme teams to understand project financial requirements and provide timely financial support and guidance.
  • Communicate financial information clearly and professionally to non-finance staff, fostering transparency and accountability.
  • Participate in cross-functional meetings and contribute financial perspectives to program planning and implementation discussions.
Qualifications
  • Bachelor’s degree in Accounting, Finance, Business Administration, or a related field is required. A professional accounting qualification such as CA, CPA, ACCA, or Partially Qualified would be desirable.
  • A minimum of 3 years of progressive experience in finance or accounting roles, preferably within non-profit, development, or international organizations.
  • Strong understanding of accounting principles, financial management practices, and donor compliance requirements, particularly in the Bangladesh context.
  • Proficiency in accounting software (e.g., Tally) and advanced skills in Microsoft Excel and other MS Office applications.
  • Demonstrated ability to prepare complex financial reports and conduct financial analysis.
  • Excellent organizational skills with a high level of accuracy and attention to detail.
  • Strong interpersonal and communication skills, capable of working collaboratively with diverse teams and stakeholders.
  • Ability to manage multiple priorities, work under pressure, and meet deadlines in a dynamic environment.

Reporting Line

The Assistant Manager – Finance will report directly to the Finance Manager and work closely with the Executive Director, Senior Project Manager, Research Fellows, project coordinators, and external partners.
