Assistant to the Executive Director's Office 
Description

Assistant to the Executive Director's Office provides high-level administrative, coordination, and communication support to the Executive Director, ensuring the smooth functioning of the ED's office. The role acts as a key liaison between the Executive Director and internal departments, project teams, development partners, and external stakeholders.

Responsibilities

Administrative & Calendar Support 

  • Manage the Executive Director's calendar, appointments, and meeting schedules
  • Coordinate travel arrangements, logistics, and itineraries
  • Screen and prioritize correspondence, calls, and requests on behalf of the ED

Documentation & Communication 

  • Draft, edit, and proofread letters, memos, reports, and official correspondence for the ED's signature
  • Prepare briefing notes, talking points, and presentation materials for meetings and events
  • Maintain confidential files and records for the ED's office

Meeting & Event Coordination 

  • Organize board meetings, senior management meetings, and donor/partner meetings, including agenda preparation and minute-taking
  • Coordinate logistics for organizational events, workshops, and external engagements involving the ED

Liaison & Coordination 

  • Serve as a point of contact between the ED's office and project teams, departments, donors, and external partners
  • Follow up on action items and decisions from meetings to ensure timely execution
  • Support cross-departmental coordination on behalf of the ED as required

Confidentiality & Discretion 

  • Handle sensitive organizational, HR, and donor information with strict confidentiality
  • Exercise sound judgment in managing access to the ED and prioritizing competing demands
Qualifications
  • Bachelor's degree required; Master's degree preferred (Business Administration, Development Studies, Public Health, or related field)
  • Minimum 2–3 years of experience in an executive assistant, administrative, or coordination role, preferably in an NGO/development-sector setting
  • Excellent written and verbal communication skills in English and Bangla
  • Strong organizational and time-management skills with the ability to multitask under pressure
  • Proficiency in MS Office (Word, Excel, PowerPoint, Outlook)
  • High level of discretion, professionalism, and integrity
